What it does

From the front door to the ledger, one system of record

  • Minnesota Rule 9503 compliance tracking

    The DCYF staff and child requirement packs seed on the day you sign up. Every person carries a live status, every status carries a date, and the archive is searchable when a licensor asks.

  • Credential and training expiry

    Each requirement holds its own expiry, including the ones that reset at the calendar year rather than twelve months out. Reminders go out before a credential lapses, and a waiver is recorded as a waiver.

  • Kiosk check-in for children and staff

    A PIN opens a session on the tablet at your door. Every drop-off and pick-up is attributed by name to the adult who signed, and a staff work shift is recorded separately from the children they check in.

  • Continuous ratio monitoring

    Classroom ratios are checked against Minn. R. 9503.0055 as people arrive and leave, not on demand. A violation is written to a log you can produce later, not just shown on a screen someone had to be watching.

  • Incident reports under Rule 9503.0150

    Filed with the category, the parent notification, the DCYF report reference, and the follow-up, so the record is complete at the moment it matters rather than reconstructed afterwards.

  • CCAP billing reconciliation

    Recorded attendance is matched against the DCYF remittance, differences land in an exception queue instead of in a spreadsheet, and the Provider Hub attendance CSV is generated with validation before you submit it.

  • Payroll and pay stubs

    Pay periods built from the same clock data as attendance, with W-2 and 1099 classification, fifteen-minute rounding, printable stubs, and CSV export for your accountant.

  • Enrollment packets and forms

    A form builder, packets sent by link, signatures captured in the browser, and a PDF of every submission printed on your center's own letterhead rather than ours.

What is not built yet

You would find both of these in the first week of a trial, so here they are before you start one.

Taking tuition payments
Invoices, the tuition ledger, credits, and receivables all work today. Card and ACH rails are not connected, so payments are recorded once you receive them rather than collected here.
Delivering training coursework
Training requirements, expiry, and reminders are tracked. The courses and certificates themselves are not hosted in ChildCareOS — you record completion of the training your staff take elsewhere.

Pricing

A flat price per location, banded by how many children you enroll

Not per child and not per seat, so hiring an assistant or filling a classroom in September does not change what you pay mid-month. You move bands when your enrollment does.

Billing interval

Annual is billed at ten months, so two are free. Every plan starts with a 30-day trial and no card.
